Exhibitor terms & conditions
The tenth Abergavenny Food Festival will be held from Friday 19 [Rear Car Park only] to Sunday 21 September, 2008.
Opening hours are: Friday 9.00 am – 4.00 pm [Rear Car Park only], Saturday from 10.00 am until 6.00 pm [All venues except the Market Hall and Cross Street (Subject to licence application) which will be open until 8.00 pm]. Sunday 10.00 am - 5.00 pm [All Venues].
Offers
The completion of an application form does not constitute an offer of a stall. Completed application forms must be returned to the Festival Office by 25 April 2008. We will then make offers according to our selection criteria and send out Acceptance Forms. If you wish to take up an offer of a stall, you must return the completed Acceptance Form by the date specified and enclose payment in full. If, following acceptance, you are unable to take up your stall, refunds may be made at the Festival’s discretion. No refunds will be offered for cancellations after August 15th.
Stalls
Stallholders must not place goods beyond the boundaries of the stall either on the ground or hanging unless previously agreed with Abergavenny Food Festival. There will be no sub-letting of stalls without prior consent from the Abergavenny Food Festival. Stall holders are required to co-operate with Site Managers, Security, Emergency Services, Monmouthshire County Council officers and all official organisations on site.
Insurance
The Abergavenny Food Festival holds Public Liability Insurance in respect of its own activities. All stall holders must hold their own Public Liability Insurance. Stall holders must also have Product Liability and Employers Liability where appropriate. You will be asked to supply copies of insurances with your Acceptance Form.
Security
There will be overnight security at all venues (except street stalls). However, stallholders who choose to leave product or equipment on their stalls overnight do so at their own risk. The Abergavenny Food Festival will not be liable for any loss or damage to any trader’s property or produce.
Risk Assessment
All stall holders are required to have carried out a careful assessment of the potential risks associated with their particular activity. You will be asked to submit a written copy with your Acceptance Form.
Electricity
Electricity supplies must be ordered and paid for with your Acceptance Form.
Fire Safety equipment
Stall holders must provide fire safety equipment on their stands appropriate to their activities.
Equipment
All electrical equipment must be in good condition and have a current PAT certificate. All gas equipment must be covered by an up-to-date gas certificate issued by a CORGI registered gas engineer. These certificates must be available for inspection by our health and safety officer at the Festival.
Environmental Health
Stall holders are expected to comply fully with relevant legislation in respect of Trading Standards, Health and Safety and Environmental Health of Monmouthshire County Council. Stalls will be inspected during the weekend and those deemed not to comply with relevant regulations may be shut down.
Waste disposal
Stallholders are expected to keep their surrounding area as clean as possible throughout the time of the Festival. Facilities for waste disposal will be provided at all venues. We will be working closely with Monmouthshire Community Recycling and recycling points will be set up in each area.
Disposables
Only bio-degradable disposables are permitted on site i.e. paper products and wooden cutlery.
Set-up times
- Rear Car Park to be set up on Thursday evening or Friday morning.
- Market Hall must be set up on Friday night from 8.00 pm
- Chadwick’s and the Priory Centre can be set up on Friday night from 5.30 pm or Saturday morning from 7.00 am
- Lower Brewery Yard set up on Saturday morning from 7.00 am
- Cross St/ Nevill St stalls must set up on Saturday and Sunday from 7.00 am and will need to be taken down each night.
Stall holders must be ready to open by 10.00 am.
No stall holders are to close their stalls before the end of the trading time for your area.
Please ensure that you bring enough stock to last the day.
Refrigerated vehicles
There is no space for refrigerated vehicles on any of the exhibition sites. If you need a supply for a refrigerated vehicle, you will need to make special arrangements with the Festival office and an appropriate charge will be levied.
Stallholder vehicles
All stallholder vehicles must be removed from Abergavenny Food Festival venues by 9.30am latest. We have secured free parking for exhibitors in the Cattle Market off Lion Street (tbc). Council Car Parks are adjacent to all Festival venues and charge £3.00 for 4 hours on Saturday. No unauthorised vehicles will be permitted to remain on site.
